Weldmar Hospicecare introduces bluQube to speed up financial processes

Weldmar Hospicecare, the Dorset charity providing specialist end-of-life care and support, has implemented bluQube to bring cost savings of 20% to operations. The charity relies on donations to support its valuable care, but it was facing challenges when managing its finances.

The finance team was burdened with time-consuming manual processes and an outdated legacy system that was deemed not suitable for an organisation of its size. This prompted the charity to start the search for a more suitable finance system.

 

The Challenge

The charity’s legacy system lacked the necessary functionality to support its growing needs. They relied on manual processes to manage invoices, purchase orders (POs), and bank reconciliations which were inefficient and prone to errors. Additionally, the legacy system was not cloud-based, requiring costly internal infrastructure to make it suitable for the whole team. 

What Weldmar really needed was a modern, intuitive solution to streamline its financial operations, reduce costs and provide greater control over expenditure.

 

The solution

bluQube was implemented in April to coincide with the new financial year when the finance team was planning to significantly change its reporting structure. It was selected for its impressive functionality at a competitive price. bluQube’s optical character recognition (OCR) invoice scanning and automated processing, online PO generation and approval, and automated bank reconciliation processes made it stand out from competitors.

 

The result

Four months after implementation, the charity has already experienced significant improvements in its financial operations. The OCR scanning capabilities in particular have resulted in substantial time savings, while overall departmental costs have been reduced by 20%. 

Additionally, since implementation, Weldmar has introduced additional bluQube features including fixed asset management and automated invoice approvals.

We were looking for a new system that would support us through the new financial year when we planned to make some significant changes to our reporting structures. And so far, so good.

Our finance team feels confident using the system and is enjoying the time savings it brings. We have also demonstrated the system to various people across the organisation and it has been met with very positive feedback. Budget holders in particular are keen to get better control over their expenditure and drill down into their costs where possible using the system.”
