Implementing a new system with Hospiscare

With a large number of different revenue streams, departments, and systems to manage, Hospiscare was struggling to report on their finances to the detail they required. They looked for change, seeking a new finance-solution to better cater to their needs.

Background:

Hospiscare provides professional care and support to around 650 individuals and their families, living with life limiting illnesses, across the heart of Devon. It runs a 12 bed hospice ward, three day care centres and employs 28 community nurses as well as providing emotional, spiritual and bereavement support. The charity also has 19 retail outlets throughout the county, with all administration facilities including finance located alongside their main hospice in Exeter. Hospiscare has an annual revenue of around £7m, generated from a broad range of streams including grants, donations, NHS funding, events, retail, educational courses and a lottery.

The challenge:

With such diverse income streams, stakeholders and departments, Hospiscare’s previous finance system struggled to provide reports to the detail they required. The team were using a third party add on for their system in order to enhance it’s reporting abilities, but with a lack of data links, it created a very laborious process.

Even then, effectively reporting on data by a department by department level continued to prove unattainable. Furthermore, with each department running it’s own software from a range of suppliers, sharing their data with finance was a slow and manual process.

 

Our answer:

After an extensive review process, in early 2015 Hospiscare chose bluQube as their new finance solution. bluQube’s ability to extensively report by department or specific cost centre made things much simpler when managing each area of the organisation, now able to provide departmental heads and budget holders much needed tailored information.

Being able to access all their reports within the one system, the charity has also been able to streamline their reporting process by doing away with a lot of background files and spreadsheets. In the short time since going live Hospiscare have already been able to integrate their new finance software with their fundraising, lottery and retail systems, eliminating a great deal of re-keying and manual uploads to further increase efficiency.

With data security being of upmost importance, Hospiscare were initially on the fence about where to host their new system, be it on-premise or in the cloud. But they praised the level of detail and openness bluQube could provide about their own cloud platform. Plus, bluQube Cloud being hosted in the military grade data centre ‘The Bunker’ further provided great assurances in to the security of their data. Opting for a cloud system also provided additional benefits: eliminating the worry and cost of backups, health checks, and software updates only allow the charity to focus more finance and resource on helping the Devon community.

With 5 successful months now under their belt, Hospiscare are looking to the future with additional integration links and plans to devolve out access of bluQube to budget holders and departmental admin organisation wide.
